Who This Covers

This Privacy Policy applies to all users of the Guardian AI mobile application ("App") and the Guardian AI marketing website, operated by ID Resources LLC ("we," "us," or "our"). It covers employees, supervisors, safety personnel, and operators at companies that have been onboarded to Guardian AI, as well as any visitor to our marketing site.

By using Guardian AI, you agree to the collection and use of information in accordance with this policy. If you do not agree, please discontinue use of the App.

Information We Collect

We collect the following categories of information when you use Guardian AI:

• Account information — name, email address, job role, and company affiliation provided during onboarding.
• Job and safety records — job names, locations, work scope, crew assignments, Job Safety Analyses (JSAs), field tickets, inspection reports, hazard reports, and incident reports you create within the app.
• Device and usage data — device type, operating system, app version, and general usage patterns collected automatically for stability and improvement.
• Location data — GPS coordinates collected at the time of crew sign-off to verify field presence. Location is not continuously tracked.
• Photos and media — jobsite photos uploaded through Guardian Vision for AI hazard analysis.
• Voice recordings — brief audio recordings captured when using the Speak to Fill feature, processed immediately to extract form data and not stored.

How We Use Your Information

Information collected is used exclusively to operate and improve Guardian AI. Specifically:

• Authenticate and manage your account.
• Generate AI-powered JSAs, analyze jobsite photos, and populate forms via voice.
• Deliver field tickets and safety documents to supervisors and operators by email.
• Provide real-time notifications for job updates, approvals, and safety alerts.
• Enable supervisor review and approval workflows.
• Maintain audit trails for compliance purposes.
• Diagnose technical issues and improve app performance.

We do not sell your data. We do not use your data for advertising. We do not share your data with third parties except as described in Section 4.

Third-Party Services

Guardian AI relies on the following third-party services to operate. Each service processes data only as necessary to fulfill its stated function:

Data Storage & Security

All Guardian AI data is stored in Google Firebase's cloud infrastructure, which provides industry-standard encryption at rest and in transit (TLS). Access to data is controlled by Firebase security rules that enforce role-based permissions — a foreman can only see their own company's jobs, a supervisor can see their assigned crew's records, and so on.

We implement reasonable organizational safeguards to prevent unauthorized access, including limited access to production systems and role-based permissions for our development team.

No system is 100% secure. While we take data security seriously, we cannot guarantee absolute security of information transmitted to or stored in our systems.

Data Retention

We retain your data for as long as your company account is active with Guardian AI. When a company ends its subscription:

• Account data and job records are retained for 90 days to allow export requests.
• After 90 days, data is permanently deleted from our systems.
• Voice recordings are never stored — they are processed in memory and discarded immediately.
• You may request deletion of your data at any time by contacting us (see Section 7).

Your Rights

You have the following rights regarding your personal information:

• Access — Request a copy of the data we hold about you.
• Correction — Request corrections to inaccurate or incomplete data.
• Deletion — Request deletion of your personal data.
• Portability — Request an export of your data in a common format.
• Objection — Object to how your data is being processed.

Children's Privacy

Guardian AI is a professional field safety tool designed for use by adults in industrial work environments. The App is not directed at children under the age of 13, and we do not knowingly collect personal information from children. If we learn that we have inadvertently collected data from a child under 13, we will delete it promptly. If you believe a child has provided us with personal information, please contact us at id.resourcesllc@gmail.com.

Camera Access

Guardian AI requests access to your device camera for two purposes:

• Guardian Vision — Taking or selecting jobsite photos for AI-powered hazard analysis and JSA generation.
• Inspection documentation — Attaching photos to equipment inspection records.

Camera access is requested only when you initiate a photo-related feature. You may deny camera permission at the system level at any time; photo features will be unavailable but the rest of the app will continue to function normally. Photos uploaded through Guardian Vision are transmitted to Anthropic's API for analysis and are not stored permanently on our servers beyond what is necessary for the current session.

Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, the App's features, or legal requirements. When we make material changes, we will update the effective date at the top of this page and, where appropriate, notify active users through the app or by email.

Your continued use of Guardian AI after any changes constitutes your acceptance of the updated policy. We encourage you to review this policy periodically.
